Privacy Policy

1. Who we are

Companion Pro ("we", "us", "our") is operated by RGL Loans Pty Ltd (ABN 32 611 969 138). It is a business-to-business software platform for Australian real estate agencies. Agencies subscribe to Companion Pro to manage their listings, offers, contacts, campaigns, trust-account record keeping, and related office administration. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

The Companion Pro iOS app is a companion to the platform: it is free to download and can only be used with an account provisioned by a subscribing agency. This policy applies equally to the web platform and the iOS app.

2. Information we collect

We collect the following categories of information:

• Account information: your name, email address, mobile phone number, and the agency and office you belong to. Accounts are created by your agency's administrator — we do not offer public sign-up.
• Business records your agency enters: in the ordinary course of using the platform, agencies record information about the people involved in property transactions — vendor, buyer and referrer names, contact details, property addresses, offers, contracts, appraisals and related documents. This information is entered and controlled by the agency.
• Photos and documents: photos and files you choose to upload (for example listing photography, signed documents, or screenshots attached to a support suggestion). The iOS app requests access to your photo library or camera only when you choose to attach a photo, and only the items you select are uploaded.
• Support communications: messages, feedback and suggestions you send us.
• Technical data: standard technical information such as IP address, device and browser type, and session activity, collected automatically to keep the service secure and reliable.

3. What we do NOT do

• We do not sell personal information to anyone.
• We do not show advertising in the platform or the app.
• We do not track you across other companies' apps or websites, and the iOS app contains no advertising or cross-app tracking SDKs.
• We do not use your data to build profiles for any purpose other than providing the service.

4. How we use information

• To provide the platform and app to your agency, including generating documents, sending transactional emails on your agency's behalf, and keeping trust-account records
• To create and administer user accounts at the direction of your agency
• To provide technical support and respond to enquiries
• To keep the service secure, detect misuse, and meet our legal obligations
• To improve the platform based on how it is used

5. Storage, security and processors

Data is stored in an encrypted database hosted in Australia (Sydney region). Data in transit is protected with TLS, and access inside the platform is restricted by role-based permissions so users only see what their agency allows.

We use a small number of trusted service providers to operate the platform, each engaged only for the purpose described: Supabase (database and file hosting), Resend (transactional email delivery), BoldSign (electronic document signing), Anthropic (AI-assisted reading of documents an agency chooses to process, such as extracting details from an uploaded contract), and realestate.com.au services (property and pricing lookups). These providers act on our instructions and are bound by their own security and privacy obligations.

6. Retention and your rights

We retain information while your agency's subscription is active, and afterwards only as long as needed to meet legal, tax and regulatory obligations (records connected to real-estate transactions and trust accounting are typically kept for seven years). You may request access to, correction of, or deletion of your personal information by emailing roberto@rglloans.com.au. We respond to all requests within 30 days.

Where your personal information was entered by an agency (for example, you are a vendor or buyer whose details were recorded by your agent), we may refer your request to that agency, as they control that record.

7. Data breaches and complaints

We comply with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). If a breach is likely to result in serious harm, we will notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as soon as practicable.

8. Changes

We may update this policy from time to time. Material changes will be notified to subscribing agencies by email at least 14 days before they take effect, and the "Last updated" date above will always reflect the current version.
